Seasonal staff shifts and hours: how to keep them in order
Updated 12 October 2026
Applies in Italy: the rules in this article are for agriturismi, B&Bs, campsites and other holiday accommodation in Italy.
In short. With seasonal staff there are two problems: who's on when, and how many hours each person did. A shift calendar everyone can see and an hours count updated as you go avoid coverage gaps and month-end arguments. And they help respect the rest periods the law requires.
"Wasn't I off on Sunday?". At month end, when the hours are totted up, everyone's memory gets strangely creative. A count kept day by day removes the argument before it starts.
The two things to keep in order
- Shifts: who covers which service, on which day and time slot.
- Hours: how many each person actually did, updated as you go, not rebuilt at month end.
The rest periods the law requires
When organising shifts, bear in mind the law (legislative decree 66/2003) sets some limits, including a daily rest and a weekly rest for each worker. The detailed rules depend on the classification and the collective agreement applied (for the sector, the Tourism agreement): on this it's worth consulting your labour advisor. The practical point: shifts don't fit together just by looking at coverage, but also at people's rest.
A calendar everyone sees
- Publish shifts in advance, somewhere everyone can look.
- Mark who's off, not just who's on: so gaps stand out.
- When a shift changes, change it there, not by word of mouth: words get lost.
Hours, counted as you work
- Each person sees their own hours as you go, not just the payslip at month end.
- Changes (a missed shift, an extra one) are noted when they happen.
- At month end the total is already done: no rebuilding, no arguments.
Where does Fattore come in?
Fattore keeps the shift calendar and the hours count. Staff see their own shifts and hours from their phone; you see coverage at a glance and, when something changes, you update it once. At month end the numbers are ready to hand to whoever does payroll. It's among the modules, next to cleaning.
Frequently asked questions
Does Fattore do payroll?
No. It counts hours and shifts; payslips are done by your labour advisor, to whom you hand the ready numbers.
Do staff see each other's shifts?
They see the shift calendar and their own hours. You have the full coverage picture.
How do I handle a last-minute shift swap?
You update it in the calendar: whoever's involved sees it at once, with no word of mouth.
