Guest check-out at an agriturismo or B&B: bill, room, goodbye

In short. A good check-out is four things done in the same order every time: the bill checked the evening before, an unhurried goodbye, a quick look around the room, and the room marked for cleaning. If the guest leaves with the right bill in hand and a real goodbye, you have avoided the most common problems of departure morning.

It is 10:50, room 3 has to be empty by 11, table 4 wants to say goodbye and the phone is ringing. Check-out is the last thing your guest remembers about you, so it is worth making it smooth. The good news: almost everything can be prepared the day before.

When should I prepare the bill?

The evening before, not the morning of. With the bill ready, the morning becomes a quick check instead of a reconstruction job. Go through these items:

  1. the nights and the agreed board (room only, breakfast, half board);
  2. dinners and lunches charged to the room;
  3. extras from the stay: wine, farm products, rentals, laundry;
  4. agreed supplements, such as a late check-out;
  5. the tourist tax, if your municipality applies one: amount and exemptions are set by the municipality (we cover it in our article on the Italian tourist tax).

If you note extras the moment they happen, the evening before you only have to add them up. If you rebuild them from memory, you don't. We wrote about how to keep the room bill and extras in order.

How do I handle guests who leave early?

The evening before, ask what time they are leaving and how they prefer to pay. If they leave at dawn, it is better to settle the bill the night before: the guest checks it calmly and the morning is only for the goodbye. Agree where to leave the keys and, if you serve breakfast, consider preparing something to take away. One question, with a smile, is enough: "What time do you need your coffee tomorrow?"

What if three rooms leave at the same time?

It happens on Sunday mornings, or after a group dinner. Two things help. First: ask the evening before when they plan to come down, so they don't all show up at the desk together. Second: if you have a staff member, split the tasks, one at the bill and the other at breakfast and goodbyes. The bills are already prepared, so each one takes a minute, not ten.

What do I check in the room without acting like an inspector?

A quick look once the guest has left the room or is heading down with the luggage. It isn't an inspection: it is for you, so you don't find out later what happened.

  • forgotten items: chargers, glasses, scarves (it is always the chargers);
  • the fridge or minibar, if the room has one;
  • windows, lights, air conditioning or heater;
  • any damage: if you find some, take a photo and write it down right away, with date and room.

For damage, house rules written before arrival, in the welcome message or in the room, help more than any discussion once the suitcases are closed.

What do I say to guests who are leaving?

Thank you, and a real question: how was it? Listen to the answer. If there was a problem, you hear it now and not in a review. If it went well, you can mention that an online review helps you, without pushing: what to know is in our article on online reviews. The next day, send a short WhatsApp message with a thank you and an invitation to come back. The messages that really matter are here: WhatsApp with guests.

When does the room go to cleaning?

As soon as the guest has handed back the keys. Mark the room as ready to clean right away and, if someone arrives in the afternoon, put it at the top of the list. Whoever cleans shouldn't have to come and ask you: they should see it. How to organise the day when departures and arrivals overlap is in our article on room cleaning on turnover days.

So what does Fattore do here?

Let's say it upfront: Fattore doesn't manage bookings and doesn't issue fiscal receipts. It reads arrivals and departures from the connected channel manager (or you enter them by hand), so in the morning you see who is leaving and from which room. On check-out it helps like this: it keeps the room bill with dinners and extras added as they happen, prepares the bill to show the guest (you then issue the fiscal receipt at the till), marks the room status for cleaning with a checklist, and sends WhatsApp messages from your own phone, with no platform fees.

You will find everything in the modules and the connected channel managers. For your property, see the page for the agriturismo management app or the one for the bed and breakfast management app.

Frequently asked questions

What time should guests vacate the room?

You decide, and you write it down before arrival: in the welcome message and in the room. What matters is that it is the same time for everyone and that whoever cleans knows when they can start.

Can I charge for a late check-out?

You can, if you said so beforehand and it doesn't block an arrival. If a guest arrives in the afternoon, the answer is almost always no. If you apply a supplement, put it on the bill so the guest can see it.

What do I do if a guest disputes an extra?

Show the itemised bill with date and item. If you noted extras at the time, the discussion is short. If you made a mistake, fix it without fuss: a few euros less cost less than a guest who leaves upset.
